WVC RubixCloud Client Service Specialist (Remote)

Responsibilities:
Due to our rapid growth, WVC RubixCloud client service specialists may be delegated any or all of these responsibilities upon being hired. Client service specialists’ duties can be categorized into 3 main segments: accounts payable, accounts receivable, and payroll.

A. Accounts Payable
Client service specialists will be responsible for the timely and accurate processing of client Accounts Payable transactions. The duties include:

  • Maintaining current, accurate and complete vendor file information, including current W-9 and any other application forms
  •  Preparing accurate vendor bills and other transaction information
  • Processing of vendor bills received for payment
  • Downloading and coding credit card transactions
  • Preparing draft “To-Be-Coded” reports
  • Reviewing monthly A/P ledgers for missing routine bills
  • Managing new vendor setup process

B. Accounts Receivable
Client service specialists will be responsible for supporting our clients in the areas of customer invoicing, recording of deposits, and supporting our clients with customer collections. The duties include:

  • Creating and monitoring client invoices and accounts receivable transactions
  • Posting Customer Payments
  • Downloading/entry of revenues from 3rd party applications or banks
  • Special projects as assigned

C. Payroll
Client service specialists will be responsible for the timeline and accurate processing of new hire and ongoing employee documents for clients and their staff.

  • Processes in-house payroll and downloads/files payroll returns
  • Responsible for new hire setups and communications
  • Coordinates with client to ensure support for payroll agency correspondence
  • Garnishment, benefit plan obligations and other required reporting to Accounts Payable
  • Downloads payroll transactions to general ledger

Job Requirements and Experience:

  • Possess a strong desire to learn new technology and software
  • Ability to work independently on assignments and when to escalate matters with appropriate staff
  • Detail oriented
  • Excellent verbal and written communication skills
  • Approach all matters with client focus and confidentiality
  • Strong skills in MS Office and ability to embrace technology
  • Experience within the following areas is preferred:
    • Data entry: 3 years (Preferred)
    • Customer service: 3 years (Preferred)
    • Accounting: 2 years (Preferred)
    • Accounts payable: 2 years (Preferred)
    • Payroll: 2 years (Preferred)
    • Accounts receivable: 2 years (Preferred)
    • Familiarity with any of the following Cloud based accounting systems is preferred: R365, Intacct, QuickBooks Online, Bill.com, Teamwork

Schedule: Part-time to Full-time with flexible hours

Work Location: Remote with some requirement to be in attendance at quarterly in-person meetings

Compensation: This data entry position offers a competitive hourly wage with paid training prior to the onset of assigned work. The work location is determined by the needs of the applicant, but a virtual (work from home) applicant is preferred.

WVC RubixCloud Accounting Manager (Remote)

Responsibilities:

WVC RubixCloud is seeking a qualified Accounting Manager to become a member of our client accounting and advisory services team. A successful candidate will be able to provide accounting guidance and correction of accounting transactions, to supervise a team, and work autonomously as needed. This position will also benefit from someone who has project management experience.

  • Daily, weekly, and monthly oversight of accurate and timely processing of financial data and reporting
  • Provide client assistance, as needed, to manage outgoing bills and invoices and outstanding accounts payable
  • Supervision and management of Client Service Specialists of day-to-day transactional processing and bank account reconciliations
  • Preparation of non-bank account reconciliations
  • Review of General Ledger for missing transactions and overall accuracy
  • Management of weekly “open items” and “to-be-coded” lists
  • Monthly review of financial statement reporting package
  • Interact with clients to obtain and disseminate financial information
  • Manage and assist in the development and implementation of new procedures and features to enhance reporting efficiency while maintaining a high level of accuracy
  • Recommend, manage, and assist in the continual business transformation of client’s back-office processes utilizing procedures, workflows, and technology partners
  • Managing multiple clients in select industries

Qualifications:

  • Bachelor’s degree
  • 2+ years of relevant prior accounting experience either in public, or corporate setting, with demonstrated ability to manage a team
  • Broad financial, analytical, and business acumen and structured problem-solving skills
  • Strong attention to detail to ensure accuracy in financial statement deliverables
  • Self-starter with sharp decision-making skills, ability to multi-task, work independently, prioritize daily, weekly, and monthly tasks, and have the ability to meet established deadlines
  • Excellent oral and written communication skills with demonstrated ability to influence both internal team members and external clients
  • Ability to manage and/or participate in multiple concurrent projects and clients
  • Strong skills in MS Office and ability to embrace technology
  • • Familiarity with any of the following cloud-based accounting systems is preferred:
    • R365, Intacct, QuickBooks Online, Bill.com, TeamWork
